Mintues from the Annual Board Meeting of the Board of Directors

1. Call to Order

The meeting was called to order at 11:15 am by President Alaina Young.

2. Roll-Calls

Officers & Directors present constituted a quarum.

Present: Alaina Young, President; Gary Gordon, Vice-President; Jerimiah Miles, Treasurer

Absent: Michael Davenport, Secretary; Claudia Young, Director

Members Present:Tom Hoffman; Shirley Locke Deese; Jim Griesemer; Sheryl Burt Ruzek-Griesemer

3. Minutes of January 25, 2026, Regular Meeting

A motion to accept the Minutes was seconded and unanimously approved.

4. Treasurers Report:

Current Income and Expense Report

A. The balances on hand are $27,865.84 (checking account) and $29,849.98 (MM Fund).

B. Income for 2026 includes $7,000 interest, $2,310 in dues, and $5,000 in donations.

C. Plot sales (4 recorded at $1,100 each) $4,400.00.

5. Old Business

A. 2026 Annual Billing Statements: Alaina Young mailed renewals to 208 members; 156 renewals have been received. In comparison, in 2025, bills were mailed to 238 members; 3 had died; 43 did not pay.

B. West End Curbing – Boone’s has installed two sections, 8” high to prevent driving over. The small section near the gate is in progress and should be completed soon. The soil is sandy and erodes and plot owners are encouraged to add curbing to plots.A granite walkway from the monument has been marked and will be added.

C. Weed Spraying – The acorns from Oak trees have been coming up and are being removed.Pre-emergent spraying has been completed; Alaina Young provided invoice for payment.

D. In storms, some tree limbs have fallen and wedged into monuments; they have been or are being removed.  

6. New Business

A. The Live Oak tree at the South end of Block 9 needs to be removed. Two Brothers will do it for $1800.00. A motion to contract for the work was seconded, and unanimously approved.

B. The plastic chain along the children’s section needs to be replaced at an estimated cost of $250-300.00. A motion to cover the cost (to be charged to the credit card at Ace Hardware in an amount up to $500) was seconded, and unanimously approved.

C. Jim Griesemer presented the Harmony Grove Website he created with copy he and Sheryl Ruzek-Griesemer drafted and submitted to Alaina Young and Tom Hoffman for review.

1) Each of the pages was viewed and discussed and Jim will add two additional tabs to separate News from Pioneers and create a Board of Directors page that will include the names of the Directors, Bylaws, and Minutes of Board meetings.

2) The site needs a current telephone number to contact Harmony Grove. Jerimiah Miles will purchase a new phone and keep the current number: 1 (209) 747-7988.

3) After the phone is in operation, Jim will create a QR Code for the website.

D. Sign on Fence with contact information. After the phone is in operation and the QR Code is added to the website, a decision will be made about creating a sign to install on the fence. at the September/October board meeting.

E. Land to the South of the shed from the fence to the house (horse pasture) may be for sale. Alaina noted that there is no path for a non-endowment cemetery to purchase the land. It could, however, be purchased by an individual and donated to Harmony Grove. Gary will explore if the parish is interested in the land for San Joaquim

F. Annual Membership mailing: It was moved, seconded, and unanimously voted to reimburse Alaina for $325 for the billing expenses.

G. Election of Board of Directors for 2026-2027

1) The Board nominated and unanimously elected the following officers for the coming year: Alaina Young, President; Gary Gordon, Vice-President; Jerimiah Miles, Treasurer, and Michael Davenport, Secretary.

2) The Board nominated and unanimously elected the following Directors:  Claudia Young (continuing) and Tom Hoffman (new to the board).

H. Upcoming Expenses:

1) Asphalting the roads at an estimated cost of $12,000-$20,000.

2) Additional work remains to reroute/replace water lines, to provide water at the ends of both blocks.
